Microsoft Bookings: Set-up a booking page for an individual

Before getting started

This guide will walk through the process of setting up a booking page with full functionality for an individual. If you are creating this booking page for yourself and want a simpler and faster setup, please consider using the personal booking page for quicker setup but with limited functionality. If you are creating a booking page for a group, please follow these instructions for setting up bookings for a group.

Create a new bookings page

Click the Create button

If you'd like to create a new Shared booking page for a group, or use the full functionality of Bookings for yourself as an individual, click Create on the bookings home page.

You are given the option to create a new booking page "from scratch" or create a "clone" (copy) of an existing booking page that you have access to. This guide will walk through the process of creating a booking page "from scratch".

Set-up Wizard

When creating a booking page, you can enter information in a 4-step creation wizard that collects initial information. This guide will skip most of it.

Enter a name for your booking page and choose a business type, then click Next. We will change business hours later in the guide.

When creating a booking page you will be prompted to enter a name, choose a business type, and set business hours. In this image the name entered is "Professor Dragon's Booking Page" and the business type selected is "Education". The business hours have not been changed.

Choosing a different business type results in a different example service (appointment type) being set up in the booking page. These guides will use the Education business type.

You are also given the option to upload a logo and to change the business hours here. These can be changed later.

Skip the rest of the set-up wizard

The guides in the next section will walk through changing all of the settings that can be made here. Click Next, then click Next again, then click Create.

The creation process usually takes only a minute or so. If it takes longer, you can leave the site while waiting. You will receive an email after the booking page has been created.

Navigating within the Bookings app

Access the settings for the booking page you created

After creating the booking page click the card of the booking page you'd like to edit on your Bookings home page. You can click almost anywhere on this card to access the booking page settings. Do not click the More (three dots in the upper right), or the Share links as these will not open the bookings settings page.

The navigation bar

Once you've accessed the settings for the booking page, you'll see the navigation bar on the left side. From it you can navigate to pages to view the Calendar or Customers. You can also access pages to change settings for the booking page, services or business information, or manage staff.

Pop up windows

On some settings screens, editing a service or staff member for instance, a pop-up-like window will appear that has its own navigation bar. You can click the different options in this navigation bar to change different settings. When you click Save, the window will close. The image below shows an example of the Edit Service navigation bar.

The edit service navigation bar has the options: Basic details, Availability options, Assign staff, Custom fields, and Notifications.

Expanding sections

On some settings screens, Business information or Booking page for instance, expanding sections are available and appear as collapsed when you visit the page. To expand these sections you must click the downward-pointing chevron (circled in red on the image below) on the card in order to expand. Clicking elsewhere on the card has no effect.

Booking page settings

This guide will work through the settings in an order that seems contrary to the order in which links are ordered on the navigation bar. Completing things in this order may be helpful in understanding how Bookings operates.

Sharing your booking page

After setting up your page, you'll need to send the link to those who will use it to sign up for meetings. There are different options for how to share your bookings page. You can share a link to your entire booking page that allows customers (students) to choose what type of meeting (service) they'd like to book an appointment for. Alternatively, you can share a link to a specific service so that you can dictate who uses which service.

Sharing a link to your entire booking page

From your bookings page settings, click Booking page in the left navigation bar. At the top of the page, you'll see the configuration option you chose before. Below that you'll see the words Your booking page: with a link below. To copy the link click the icon to the right of the URL which looks like a stack of paper. You can then paste this link wherever you'd like.

Sharing a link to a specific service from your booking page

A service does not need to be shown on the booking page in order for it to be available to be used.

From your bookings page settings, click Services in the left navigation bar. Select the service you'd like to obtain a link for from the list of services. On the Service preview that is shown on the right part of the screen find the Service Details section. You'll see the words Service booking page with a link below. To copy the URL, hover your mouse above it. You'll see an icon appear to the right of the URL which looks like a stack of paper, click it. You can then paste this link wherever you'd like.
